Hi folks, The upcoming AGM (in a couple of weeks) is usually a time of CCN transitions and I'm going to be using the occasion to scale back fairly significantly on some of my CCN involvements. I've found myself too busy (almost since later August!) to do justice to certain volunteer tasks and the upcoming months don't look any easier. ;-> In any event, I plan to step down from the Communications Committee, greatly curtail my IP Committee involvements and step aside from my unofficial CCN 'webmaster' role. I will continue my coordinating function as Editor-in-Chief (and as Culture & Philosophy Editor), however, over the years I have taken on (in the absence of an IP Committee Chair and otherwise) a lot of other IP related functions and I can no-longer continue to do all of these things. (I will continue, at least for the time being, to coordinate the Featured IP function). How all of this impacts all of you (you knew I was getting to this, didn't you ... ;->) is that I'm going to play a much diminished role in steering new IP applications through the IP process. I the past I have taken up the slack at times on this front, however, I will be steering IP applications to the respective CCN Editors - which means you! ;-> This means that if you have gotten a little rusty with respect to Editorial Policy, the Editorial Process or using the IP Database, now is the time to brush up your knowledge. I'll be happy to assist anyone who has questions. *All the documentation on this is located at:* http://www.chebucto.ns.ca/Policy/IP/Editors/index.html - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - The salient points (under 'normal' circumstances) are: 1) After an on-line application has been received, contact the applicant with respect to what section of the CCN they should be located (i.e. Heritage, Recreation, Sport, Environment, etc.), I'll continue to do this and then will steer them to the appropriate CCN Editor. After that, you take over. 2) Determine what directory & home page name they wish (normally home page is index.html), check and see that the contact info they have supplied is correct & adequate (address, & phone), and what jumpkey name they wish. *Make those changes/additions in the IP database.* 3) When applicants pass through IP training Bob Adams let's ccn-ip know and marks them trained. *If they are already trained then you need to designate *trained* in the IPDB.* Current policy is that anyone who is an editor of an existing CCN website is considered 'trained' and does not need to go through IP Training again. Also, any proposed site that has at least one trained IP Editor is considered trained and other editors in it are not obligated to take IP Training (although they are certainly welcome to if they so wish). 4) When the Office receives the IP Agreement it indicates this in the IPDB (*see below for more on this). 5) When all of the above has taken place, then you select the *Create IP* button in the IPDB and the IP is created (directory, edit group & majordomo list(s). 6) You should remind applicants that when their site materials are in place they should let you know so that you can add a link to their sites from your CCN pages. *Note: for the time being, in the absence of a CCN Office Manager, David Murdoch of CCN Operations should be contacted with respect to marking an IP Agreement as being 'received' by the Office. This is something that the CCN Editors cannot do and an IP cannot be created without this being so indicated. - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - Periodically changes need to be made to entries in the IPDB: 1) When sites leave the CCN, they should be so indicated in the IPDB. 2) The IP Editors should (but they don't always) clear out their old files and change their old home page to a re-direct page (or a closed-down page, or whatever). If they haven't don't this you need to do it. The most expeditious way is to send a message to David Murdoch at Operations to change the directory tree of the IP over to fn-edit (the editors' edit group) and after this has been done, go and make the appropriate changes. The old edit group and majordomo lists should be removed, something that you need to tell Operations to do. 3) If new editors are to be added to a IP, I'd remind you that this is the call of the IPE1 (the first editor listed in the Edit group list) so if the person making the request is anyone other than this, you need to contact the IPE1 and ask them. Otherwise, no dice. 4) When new editors are added to a site they also need to be added to the corresponding ml-priv list. There is no way to do this automatically and most IPE1 don't know what their majordomo admin passwords are. If they do, they should be encouraged to make the change via the syntax of: approve password subscribe list user or approve password unsubscribe list user If you don't know what the default majordomo admin password syntax is, let me know and I'll tell you. In any event, the password is sometimes not that and often the best way to make a change to a list's membership is to contact David Potter of Mailing-List administration. This is the *only* way to change a list's ownership or characteristics (i.e. to make it a restricted-post list, archived, open vs. closed, private vs public, etc.). - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - - This is the basic structure of regular CCN Editor Administrative responsibilities viz-a-viz IPs. Then, of course, there are exceptional and/or unusual circumstance. ;-> That's what the Editor-in-Chief is around to deal with. ;-> In any event, please brush up on all of the above, and the materials in the CCN Editors' Site at: http://www.chebucto.ns.ca/Policy/IP/Editors/index.html And feel free to ask questions, request clarifications, sort out problems with HTTP authorized access, etc. during the next three weeks prior to the AGM.
